KidCheck Pro User Guide

Welcome to KidCheck Pro! This guide will walk you through the essential features of the application, covering roles for both Administrators and day-of-service Volunteers.


Part 1: For Administrators (Setup)

These steps should be completed before the church service begins to ensure the system is ready for check-ins and pickups.

1. Add the Service

A "Service" represents a specific event, like "Sunday 9:00 AM" or "Wednesday Youth Group". Each service has its own set of check-ins.

  1. Navigate to the Dashboard: Open the main page of the application.
  2. Click "Add Service": Find and click the + Add Service button, usually located near the top right.
  3. Enter Service Details:
    • Service Time: Select either the "9:19 service" or "11:30 service".
    • Service Date: Click on the calendar and select the correct date for the service.
  4. Save the Service: Click the Save Service button. Your new service will be automatically named (e.g., "11/9/25 9:19") and will be available in the dropdown menu on the dashboard.

2. Import check-ins from Planning Center

You no longer need to upload a CSV. Pull the roster directly from Planning Center.

  1. Select the Service: Choose the correct service from the dropdown at the top.
  2. Open Sync: Click Sync from Planning Center in the Planning Center box.
  3. Choose the Event Time: Pick the correct event time; the preview will show totals by classroom.
  4. Sync Kids: Click Sync Kids. This imports kids for that event time and resets their car/ready/pickup status.
  5. Confirm the Link: The Planning Center box shows the linked event name/time and the "Last synced" timestamp.

Part 2: For Volunteers (Live Pickup Process)

This is the workflow for managing the child pickup process during or after a service.

1. The Dashboard Layout

The dashboard is organized into three main sections:

  • Car Lanes: Six columns representing the physical car lanes. Kids assigned to a car will appear here.
  • Checked-in Kids: A grid of all children who are checked in but are not yet assigned to a car.
  • Completed Pickups: A section at the bottom showing all children who have been fully picked up.

2. The Pickup Workflow

This process is designed to be followed sequentially for each child.

Step 1: Mark a Child as "Ready for Pickup"

  • When a parent arrives, find their child in the Checked-in Kids grid. You can use the search bar to find them by name or security code.
  • Click the Mark Ready button on the child's card.
  • The child's card will now have a blue glow, indicating they are ready to be brought to the car line area.

Step 2: Assign the Child to a Car Lane

  • Once the child is ready, a dropdown menu will appear on their card.
  • Select the car number (e.g., "Car 1", "Car 2") that the parent is in.
  • The child will disappear from the "Checked-in Kids" grid and reappear in the corresponding Car Lane section at the top of the page.

Step 3: Confirm the Child is in the Car

  • A volunteer in the car line area should now see the child's name in the correct car lane on their device (or on the main display).
  • Once the volunteer has physically placed the child in the car, they should click the Confirm In Car button.
  • The child's entry in the car lane will turn green.

Step 4: Complete the Pickup

  • This is the final verification step. The volunteer at the car should verify the parent's tag matches the security code on the child's card (if one was provided).
  • Once verified, click the Complete Pickup button.
  • The child will move from the "Car Lane" section to the Completed Pickups section at the bottom of the page. Their card will be faded out, indicating the process is finished.

Front Door or Walk-Up Pickups

  • If a family is picked up at the front door (no car lane), click the green check button on the ready card to complete pickup directly.

3. Using the Pickup Display Page

  • The Pickup Display button in the header opens a simplified view (
    /display
    ) designed for a large screen.
  • This page shows which children are ready and which car they are assigned to. It's perfect for a large monitor in the kids' area so volunteers can see who to bring out next. It updates in real-time.
